Planning a wedding involves hundreds of decisions, and many of them are connected. A choice involving catering, entertainment, transportation, rentals, décor, or timing can affect several other parts of the day.

Our in-house Design & Planning Guidance + Full Wedding Day Coordination service gives you experienced guidance throughout the planning process, while keeping the wedding entirely yours.

From shortly after booking through wedding week, our team helps you think through decisions, review logistics, answer questions, communicate with vendors when needed, and identify potential issues before they become wedding-day problems.

You choose your vendors, sign your own contracts, manage your own wedding budget, and always have the final say. Our role is to give you the insight that comes from knowing M&D Farm, its logistics, and how weddings actually unfold here.

If you are comparing vendors, reviewing a proposal, considering a rental or design decision, or simply want our perspective before committing to something, we are here to help. We will tell you what we believe will work well, what may create unnecessary expense or logistical complications, and what we would approach differently, so you can make informed decisions with experienced guidance behind you.

  • Planning Support Along the Way

Our involvement begins shortly after you book the service and continues throughout the planning process.

We schedule planning conversations at key milestones, beginning shortly after booking and continuing through wedding week. Additional phone conversations can also be arranged when something is easier to discuss together than through email.

Our planning and design assistance includes, but is not limited to:

  • Ongoing phone and email planning support

  • Guidance on the overall flow and direction of your wedding

  • Styling, design, and décor guidance

  • Vendor recommendations based on your priorities, needs, and wedding plans

  • Experienced input when comparing vendor services, proposals, and options

  • Review of vendor logistics as they relate to your wedding at M&D Farm

  • Direct communication with vendors when coordination or clarification is needed

  • Coordination of vendor site visits at M&D Farm

  • Ceremony, cocktail hour, and reception floor plan development

  • Guidance on rentals, tenting, transportation, décor, and other logistical decisions

  • Development and refinement of the wedding-day timeline

  • Planning of vendor arrivals, deliveries, setup, service, and departures

  • Identification and troubleshooting of potential logistical conflicts before the wedding

  • Final vendor coordination and timeline review

  • Planning and coordination of the ceremony rehearsal

  • A complimentary 60-minute rehearsal time the day before the wedding, scheduling permitting

  • A final wedding-week review to bring all the moving pieces together

We do not take over your wedding or make financial decisions on your behalf. You select and contract your own vendors and remain responsible for your wedding budget. Our role is to provide guidance, perspective, and practical knowledge so you can make those decisions with a clearer understanding of how they may affect your wedding day.

  • Full Wedding Day Coordination

On the wedding day, planning becomes execution.

Our coordination team is on site from the beginning of the day's preparations through the conclusion of the event and final organization afterward.

From the first vendor arrivals, we coordinate and direct the many moving parts involved in bringing the property and your wedding together. We oversee vendor arrivals and deliveries, coordinate setup, monitor the timeline, place agreed-upon personal props and signage, place and light client-provided candles in M&D Farm's property lanterns and other designated venue areas, work with catering, florists, entertainment and other vendors, and make sure each team understands where they need to be and when.

As your wedding party and family arrive, we become a point of contact for them as well. Questions come to us, not to you. Whether someone needs direction, a parent has a last-minute question, a vendor needs assistance, or an unexpected situation needs attention, we are there to handle it while you continue enjoying your day.

  • Guest Arrival, Shuttles & Parking

Before the ceremony begins, our attention also turns to your guests.

We track and welcome arriving shuttles, organize and direct the parking flow for vehicles arriving at M&D Farm, welcome guests to the property, and guide them to the appropriate areas.

As ceremony time approaches, we manage guest flow and assist with seating while coordinating the wedding party, officiant, musicians, and the timing of the processional and recessional.

  • Managing the Flow of Your Celebration

Once the ceremony begins, we continue coordinating the wedding from one moment into the next.

We oversee the transition from ceremony to cocktail hour, coordinate with catering and entertainment, and then guide the flow into dinner and the evening celebration.

Behind the scenes, we coordinate introductions, first dances, speeches and other timeline moments with your DJ, band, caterer and other vendors while continuously monitoring timing, guest movement, vendor activity, transportation, weather, and the property itself.

We are not simply available if something happens. We are actively watching the wedding unfold, anticipating what comes next, and addressing details as they arise.

The goal is for the coordination happening behind the scenes to feel almost invisible to you and your guests.

  • When the Celebration Ends

Our work does not end when the last song plays.

As the evening comes to a close, we coordinate guest departures, final shuttles and transportation, vendor breakdown, and closing activities.

We also gather and organize the personal décor, props, signage, and other belongings you have chosen to keep, so they are together and ready to leave with you.

After your guests have departed, we continue overseeing the property and event spaces as the wedding comes to a complete close.

  • The Advantage of In-House Coordination

There is a significant advantage to having your wedding coordinated by the team that operates the venue.

Our coordination team works under the direct supervision of M&D Farm's owners, Mario and Daniel, bringing together an intimate knowledge of the property with hands-on experience coordinating weddings here.

We understand how long transitions actually take, how guests naturally move through the property, how vendors need to access and work within each space, and what tends to work beautifully here, as well as what can create unnecessary complications.

You are not introducing an outside coordinator to the property while simultaneously asking them to manage your wedding.

You are working with an in-house team that knows the property inside and out, has been involved throughout your planning process, and will be here to carry that planning through on your wedding day.

Our goal is simple: you should be able to experience your wedding as the couple getting married, not as the people responsible for running it.

  • What Is Not Included

M&D Farm provides planning, design guidance, logistical coordination, and wedding-day management. We are not a florist or décor installation company.

Floral design, floral arrangements, reception table styling, and the setup or installation of floral and décor elements on dining tables are not included in this service. This includes the placement and setup of candles and vessels on dining tables, which must be handled by your hired florist or professional décor team.

Our team may place agreed-upon personal props and signage as part of wedding-day coordination. Extensive décor setup or installation is not included.

M&D Farm Design & Planning Guidance + Wedding Day Coordination is an in-house service offered exclusively for weddings and events held at M&D Farm.

$2,900 + 8% New York State sales tax

Payment Schedule

  • 50% due upon signing

  • Remaining balance due 120 days prior to the event

  • All retainers, payments, and fees paid to date are nonrefundable
